This guide provides step-by-step instructions on how to import data into the Donor Management tool.
Overview
The Import Tool allows you to upload and manage large sets of data efficiently. To ensure the best results, we recommend using the provided Sample Import Files as a template.
Steps to Import Data
Step 1. Access the Import Tool
Log in to your account.
Open the Donor Management tool.
From the left-hand menu, select Tools.
Click on Import Data.
Step 2. Upload Your Import File
Click Browse to select and upload the file you wish to import.
We highly recommend downloading and using the Sample Import Files by clicking the blue link: “Download Sample Import Files”.
Step 3. Configure Import Settings
After uploading your file, you will be prompted to answer the following:
Does your file have column headers?
Select Yes if your file includes header labels (e.g., Name, Email, Amount).What would you like to do with the data?
Choose one:Only add new records
Only update existing records
Add new and update existing records
How many records are in each row?
Typically, select one record per row unless your file is structured differently.
Step 4. Map Your Fields
Match (map) the columns from your file to the corresponding fields in the system.
Ensure each column is aligned correctly to avoid errors.
Step 5. Select Matching Keys
Choose the appropriate Key Fields (e.g., Email, Constituent ID).
These are used to identify and match existing records in the system.
Step 6. Review and Confirm
Review all mappings and settings carefully.
Confirm that everything is accurate.
Proceed with the import.
Best Practices
As much as possible, please use the Sample Import Files as a guide.
Double-check your data before importing.
Start with a small test import if you are unsure.
Ensure key fields are accurate to prevent duplicate records.
