Database corruption can happen for several reasons. Unfortunately, there is no way to see exactly what causes database corruption. If you have already run your GiftWorks checkup and found errors that GiftWorks could not fix, please follow the steps below to repair your database. Please note, you will need Microsoft Access in order to make the appropriate repairs.
The first step in the database repair process will be to update your GiftWorks to GiftWorks admin. This will allow you to see exactly what failed during your GiftWorks checkup so you can make the appropriate repairs in GiftWorks and/or Microsoft Access.
How to successfully upgrade your current Giftworks to GiftWorks Admin
Close GiftWorks
Go to:
C:\Program Files (x86)\FrontStream\GiftWorks\System
Right-click on the giftwks.ini file and open it in Notepad
Scroll down to Flags = area and remove |build|
Click on File and Save then close this file.
Open GiftWorks then Reset Content Updates.
Close GiftWorks
Go back to: C:\Program Files (x86)\FrontStream\GiftWorks\System
Right-click on the giftwks.ini file and open it in Notepad
Scroll down to Flags = area and enter |build|
Click on File and Save then close this file.
How to run your GiftWorks Checkup
Once you have successfully updated your GiftWorks to GiftWorks admin, go into GiftWorks, click on settings – importing, exporting and data management – GiftWorks checkup & run checkup. You will now be shown what sections have failed.
Adding Primary Keys
If primary keys are missing in your database, this will be shown this first. A screen will come up showing which table(s) you will need to add primary key(s) to. Below are the steps on how to add primary keys. If there are no primary keys missing, please skip past these steps and continue down to the Validity test section.
- Open the .GDS file that you want to modify in Microsoft Access.
- In the Navigation Pane, right-click the table in which you want to set the primary key and, on the shortcut menu, click Design View.
Tip: If you don't see the Navigation Pane, press F11 to display it.
- Select the field or fields that you want to use as the primary key.
To select one field, click the row selector for the field you want.
- On the Design tab, in the Tools group, click Primary Key.
Note: If there are duplicates within the table, it will not allow you to add the primary key until you have cleared all duplicated.
How to run the Query Wizard to find duplicates:
In the Database window, click the Create tab on the Ribbon and then click the Query Wizard button from the Queries section. The New Query Wizard dialog box appears, asking you what kind of Query Wizard you want to run. Choose Simple Query Wizard and click OK. Choose the first table you want to include in the query.
Once you have a list of the duplicates, go back into that table and delete all duplicates. Once all duplicates have been deleted, add the primary key to the designated table.
GiftWorks Checkup Validity Test:
For each Validity test that shows a failed status, you will need to troubleshoot what is causing the issue and fix it within either Microsoft Access or Giftworks.
You may also need to run the attached scripts in order to identify any donors and or donations that need to be fixed. Once you download the scripts to your desktop, open them while still in the GiftWorks checkup. If there are any bad donations and or donors, a box will come up displaying the results. Please take a screenshot of the results, exit from the checkup, go into the donor and or donation, make the appropriate repairs and run the checkup with the script to make sure everything was corrected. If the donors and or donations were fixed, it will display a message stating no errors were found. If not, the box will come back up again showing the donation and or donor with errors.
