In-kind donations — goods or services donated instead of cash — are recorded as zero-dollar payments in GiftWorks. This article explains how to enter them correctly to avoid the "Fund and Amount are required" error.
Recording an In-Kind Donation
Step 1. Open the constituent's profile and click Add Payment.
Step 2. On the Payment Details page, set the Amount Received to 0.00.
Step 3. Important: Check the box that says "This is an in-kind donation" before saving. This tells GiftWorks the zero amount is intentional and bypasses the "amount required" validation.
Step 4. Enter a description of the donated item or service in the Description field (e.g., "10 boxes of office supplies" or "4 hours of consulting").
Step 5. Enter the Fair Market Value if known — this is used for tax receipt purposes.
Step 6. Select the appropriate Fund and Payment Method (use "In-Kind" if available in your payment method list).
Step 7. Click Save.
If you don't see the "in-kind donation" checkbox: Your GiftWorks version may use a different workflow. Try setting the Payment Method to In-Kind — this should also bypass the zero-dollar validation.
Why the "Fund and Amount Are Required" Error Appears
GiftWorks requires a non-zero amount for standard donations. This validation exists to prevent accidental zero-dollar records. For in-kind donations, you must explicitly flag the record as in-kind (using the checkbox or In-Kind payment method) before GiftWorks will allow a zero-dollar save.
Receipting In-Kind Donations
In-kind donations generate a receipt that shows the fair market value you entered, not a dollar amount received. The receipt language will indicate it was a non-cash contribution. Make sure the fair market value is entered accurately — this is what donors use for their tax records.
If your organization doesn't assign a value to in-kind gifts, you can leave the fair market value blank — the receipt will note that no value was assigned and donors should determine their own value with a tax advisor.
