How to Setup ApproveforGood Donation Items
Create a list of items you most frequently donate to requesting organizations or choose to enter a unique item for every approval.
Check the box next to “Enter Item Description and Value while approving” if each donation you make is unique and then click Update. Or, if you donate the same items over and over, leave this setting unchecked and create the Donation Items that you most often donate.
If you use one series of Gift Certificate Numbers across all of your donation items, enter the starting number and then AFG will auto-increment the number with each approval.
If you have left “Enter Item Description and Value while approving” unchecked, create your list of Donation Items and you will have this list to choose from every time you approve a request. There is no limit to the number of items you can have.
You can also keep track of limited quantities of items by filling in the quantity field when building your items. When the Quantity falls to zero, the item will no longer show when approving a request.
Lastly, list any specific terms or conditions surrounding that item in the item description field and those details will be pulled into the approval email.
Note: An item’s name and value cannot be edited once saved. If the item’s value changes, you’ll need to create a new item with the new value.
To create an Item Request Donation Item, click on the Create a Donation Item button.
The create an item screen appears and you are prompted to fill in the select boxes
- Item name
- Item value
- Gift Certificate Number
- Use this if you have a series of Gift Certificate Numbers specific to this donation item.
- AFG will auto-increment starting from this number whenever a request is approved with this item as a donation.
- Quantity
- Item details
When done, click the Create New Item button at the bottom of the screen.
A new donation item is now created.
