Summary
As part of our commitment to continuously update and enhance our Fundraising system, we recently made the following enhancements to the Artez Application:
- Artez P2P - New Email Template - Admin notification of registrants who completed stage 1 of registration (For P2P events that allow the approval stage)
- Artez P2P - New Email Template - Submission Completed Email for participants (For P2P events that allow the approval stage)
Artez P2P - New Email Template - Admin notification of registrants who completed stage 1 of registration (For P2P events that allow the approval stage)
To improve event monitoring and early engagement tracking, organization administrators can now receive an automatic email notification when a participant completes the Contact Information form, marking the first stage of the registration process. This allows organizers to take timely action, especially for events with approval or review processes after Stage 1.

A new email template named “Admin Notification – New Registrant Awaiting Review” has been added under Organizational Messages to Administrators. When enabled, this email is sent to the designated administrator immediately after a participant submits the Contact Information form.
The email can include different keywords, such as: %FirstName%, %LastName%, %LoginName%, %EmailAddress%, %EventName%, %RegistrationType%, and UDF answers, among others. The email notification can be enabled on or off per event and is disabled by default.
How to use:
- Locate the "Admin Notification - New Participant Submission - Initial stage completed" template in the emails section.
2. Customize the email content as needed, using the available keywords.
3. Specify the administrator’s email address and confirm the administrator’s account password to ensure delivery to the correct recipient.
4. Save your changes. The system will now send an email to the administrator when a participant submits the Contact Information form.

- This will be available only if the Approval Status setting is enabled for the event

To improve participant communication and event tracking, organization administrators can now enable an automatic email notification that is sent to a participant immediately after they complete the Contact Information form, marking the first stage of the registration process.

A new email template named “New Participant Submission – Initial stage completed” has been added under Organizational Messages to Individual Registrants in the Event Builder.
When enabled, this email is automatically sent to the participant as soon as they submit the Contact Information form during registration. The template supports the most common keywords available for emails, for example %EventName%, %OrganizationName% and %Firstname%, among others. By default, the notification is disabled at the event level and can be enabled or disabled per event in the email section.
How to Use:
- Locate the “New Participant Submission – Initial stage completed” template in the emails section.
2. Customize the email content as needed, using available keywords (%EventName%, %Firstname%, etc.).
3. Save your changes. The email will now be sent automatically when a participant completes the Contact Information form.
