As part of our commitment to continuously update and enhance our fundraising system, we recently made the following enhancements to the Artez Application:
- Artez P2P — Add locked UDFs before Approval stage
- P2P — Add message board display controls
- P2P — Add Home navigation in header
- Purchase - added units per purchase for better reporting
Artez P2P — Added Locked UDFs Before Approval Stage
Administrators can now protect the integrity of registration data by locking individual UDFs once a registrant submits their registration for approval, ensuring that submitted information remains unchanged throughout the approval process.
When configuring User Defined Fields (UDFs) in the Admin Console, Administrators will find a new Lock after Pending checkbox at the individual UDF level. When checked, the selected UDF becomes read-only for the registrant once they submit their registration for approval, and remains locked throughout the remainder of the approval process regardless of how their status changes.
Locked UDFs are displayed visually distinct from editable fields, so registrants can clearly identify which fields are restricted. This restriction applies both on the Contact Information page during the post-approval flow and on the registrant's profile page in the Fundraising Hub.
- Administrators retain full editing access to locked UDF values from the Admin Console via the Relationships tab at any time.
- By default, all UDFs remain editable.
- The Lock after Pending option is unchecked unless explicitly configured.
- This feature applies exclusively to P2P events with the Registration Approval stage enabled.
How to use:
- Go to the UDF configuration section and open the UDF you wish to lock.
- Check the Lock after Pending checkbox to enable the restriction for that field and click Save.
P2P — Added Message Board Display Controls
Administrators can now control whether visitors can post new comments on the Message Board, allowing for a more focused fundraising feed when needed.
The Message Board section in the P2P Builder now includes an Allow to post a comment checkbox, giving administrators more granular control over what visitors can do on the participant and team pages.
When disabled, the comment input form is hidden from visitors while existing messages and donations can still be displayed according to the Show messages and Show donations toggles. This allows organizations to present a clean donation feed without enabling public interaction.
How to use
- Navigate to the P2P Builder for the desired event.
- Open the Participant/Team page and expand the Message Board section.
- Use the Allow to post a comment checkbox to enable or disable the comment posting option for visitors.
- Use the existing Show donations and Show messages toggles to further control what is displayed in the Message Board.
- Save your changes.
P2P — Added Navigation Links — Home Option
Administrators can now enable a Home navigation link on P2P event pages, giving donors and fundraisers a quick way to return to the main event homepage from any page. When enabled, the Home link directs visitors back to the main event homepage from any page within the P2P event.
To preserve existing event behavior, the Home option defaults to off for existing events and defaults to on for newly created events.
How to use
- Navigate to the P2P Builder for the desired event.
- Open the Theme panel and expand the Header section.
- Under Navigation Links, toggle the Home option on or off and click Save.
Purchase Item Event — Added Units per Purchase
Administrators can now define a Units per Purchase value on individual Purchase Items, enabling the system to expand each purchase into individual unit entries and display them in a dedicated report view.
This field allows administrators to specify how many individual units a single quantity of that item represents.
The Purchase Item (Customized) report now includes a Show Individual Units per Purchase checkbox in the Report Criteria section, along with a new Units Purchased column. When the checkbox is enabled, the report expands each purchase into individual unit rows based on the Units per Purchase value configured for that item. When disabled, the report displays in its current format without row expansion.
How to use
- Navigate to the Admin Console and open the desired event.
- Go to the Purchase Items configuration and select the item you wish to configure.
- Enter a value in the Units per Purchase field. The value must be a positive integer between 1 and 20.
- Save the Purchase Item configuration.
To view the expanded unit report, navigate to Reports and open the Purchase Item (Customized) report.
- Under Report Criteria, check the Show Individual Units per Purchase checkbox.
- Add the Units Purchased column to the Selected Columns and run the report.
Notes
- If Units per Purchase is not set or is set to 1, the Purchase Item behaves exactly as it does today.
- The Units per Purchase value must be a positive integer greater than zero and no greater than 20.
Additional Items
- Improved the experience of editing attributes for purchase items in event registration.
- Updated the personal custom URL alias validation in the Relationships tab for P2P events to prevent issues while saving participant’s information.
