Did your organization receive cash or check donations during your Auction Event?
We’ve added the ability to create offline donations to Auction Manager.
This allows your organization to create donations in Auction Manager and have them displayed in receipts as tax deductible, unlike Quick Sales. It also makes the Auction side more comparable to Panorama functionality where Campaigns and Peer-to-Peer already have offline donations.
Auction Manager – Close Out - Donations
A new button now shows in Auction Manager under Close Out >Donations called Create Donation.
It works very similarly to how Offline Tickets and Quick Sales work.
After selecting Create Donation, your organization will need to fill out the donation information that is required.
The Amount dropdown reflects the suggested donation amounts set under:
Event >Donate Now> Customize Donation Amounts.
Display your Donor's Name is optional.
This is only displayed on the Paddle Up Leaderboard and in reports. If it’s left blank, it will display as Anonymous.
Comments are also optional and only show in reports.
Just like with Offline Ticket Orders and Quick Sales, this new feature has the functionality to search for a bidder by Bidder Number or last name. If the bidder/donor cannot be found within the system you can also choose to create a new Offline Bidder.
If the bidder exists and you choose their bidder profile, the Payment Method will display any credit cards the bidder has used so far in this auction and which credit card is preferred. The client can also choose a different Payment Method like Check, Cash, or Other. Lastly, a new credit card can also be added.
Selecting Save Donation will create the offline donation and show a confirmation page.
A donation email is sent to the bidder if they have an email address on file.
Create Another Donation can be selected to create the next offline donation.
Offline donations are automatically confirmed, so they will show under Process Payments right away.
Offline donations are included in the Auction Manager dashboard real-time totals.
Paddle Up Leaderboard
If your live event is hosting a Paddle Up Leaderboard on a big screen, the offline donations will appear on the leaderboard.
If Display Donor Name As, is left blank, this would say Anonymous instead.
Amounts can be turned off in the leaderboard settings.
Donations report
A new column was added to the Donations report called Donation Type.
It will say ONLINE for donations made by a bidder and OFFLINE for offline donations created in Auction Manager.
Bidder Receipts
One of the main benefits of offline donations is that they show as donations and as tax-deductible on bidder receipts, unlike Quick Sales.
The offline donation amount is included in the Total Donations calculation.
Keep your events donation total up to date in real-time to reflect accurate totals within your leaderboards and reporting.
