When a bidder registers to participate in a BiddingForGood auction, they must accept the End User Licensing Agreement for persons registering as members of your auction. This agreement clarifies that bids can not be retracted, and that if they are the winning bidders, they must accept and pay for that item.
However, from time to time there are extenuating circumstances that keep a bidder from honoring this agreement. In the end, it is up to the Organization running the auction to decide whether to honor the request.
If the winning bidder would like to back out after the close of the auction, you can offer the item to the next highest bidder, or close the item as Not Sold. The item must be in the Award Items area first so if you have already tried to process the winner's credit card please contact Client Services to reopen the item. If you have Awarded the item but NOT tried to process payment go to Close Out > Process Payments, click the View Purchases link and click the reopen button for the item.
- To award an item to a second place bidder: Go to Close Out > Award Items, click on the Payment & Email Details link under the original winner's name, and choose the next bidder from the Select Online Winner drop down list. Contact the bidder (contact info can be found in Reports > Registered Users) and offer the item at their listed final bid amount. If they accept, award and process as usual. If they refuse the item you can offer the item to the next bidder in the list, and so on.
- To award an item as Not Sold: Go to Close Out > Award Items, click on the Payment & Email Details link under the original winner's name. Choose No Winner from the Type of Winner drop down menu, click the Update button and then click the Award button.
